PAYMENT AND CANCELLATION POLICIES

General Considerations:

Please note Gaia Hotel & Reserve offers all services and amenities expected of a 5 Star Hotel under international standards. We are a wireless property; therefore, internet connection is available from all locations, as well as computers in our business center. We are proud to offer our 5-star La Luna Restaurant, our World Class Terra Spa, and a full fitness room for guests to use. We also feature a beautiful 3-tiered cascading pool with food and drink service, and magnificent rain forest and ocean views. All guests are invited to join the guided tour of our Private Nature Reserve.

  • Check-out time is 11:00 a.m. and Check-in time is 3:00 p.m. However, Gaia Hotel & Reserve will make its best efforts to accommodate guests prior to the official check-in or after the official check-out time when requested, and subject to availability.
  • Rates are quoted for double or single occupancy per bedroom per unit. Published rates are subject to 13% tax or applicable taxes at the time if such should change. An extra charge of $65 will be applied for each additional guest. An additional guest is defined as a person in addition to the allotted double occupancy per bedroom per unit. An additional charge of $200.00 daily will be applied for smoking within the unit.
  • Gaia offers 22 adults only units. Our Loft Suites provide a semi-private pool only accessible for these three specific units. The minimum age child is 13 years. An exception may apply upon previous conversation and written consent of our reservations department.
  • All direct reservations require payment in full at the time of booking. Payments not expedited immediately are subject to cancellation without further notice. Agency bookings can be subject to special terms, please consult our reservation department for details.
  • Payments are received in US dollars only and may be paid by Visa, Master Card, or American Express. Direct deposits, and wire transfers must be previously arranged with our reservation department, and proof of bank transactions must be sent via email to: reservations@gaiahr.com
  • Season dates can vary from year to year, but overall the High Season can be considered from January 04th through April 19th, the Low Season from April 20th through December 19th, and the Peak Season from December 20th through January 03rd.
  • Room reservations that fall on December 31st will incur a mandatory charge per person for our New Year s Eve celebration. Please consult our reservation department for more information and pricing.

Payment Policies:

  • Payment: All reservations, regardless of the season, require payment in full to be confirmed.
  • Guarantee: All reservations require a credit card to guarantee space.

Cancellation Policies:

  • Cancellations must be made in writing and sent via email to reservations@gaiahr.com, and all cancellations must be confirmed as received by Gaia Hotel & Reserve to be considered valid.
  • Regular Rate For High And Low Season: Cancellations requested 7 days before the arrival date, are free of penalty. Cancellations requested between 6 to 0 days before the arrival date are subject to a 100% penalty, respective to the total amount originally paid.
  • Regular Rate For Peak Season: Cancellations requested 60 days before the arrival date, are free of penalty. Cancellations requested between 59 to 0 days before the arrival date are subject to a 100% penalty, respective to the total amount originally paid.
  • Transferable Rate For High And Low Season: For cancellations requested 7 days before the arrival date, receive a transferable stay credit to use for the next two years, the credit cannot be used during Peak Season Dec. 20th ? Jan. 03rd. Cancellations requested between 6 to 0 days before the arrival date are subject to a 100% penalty, respective to the total amount originally paid.
  • Transferable Rate For Peak Season: For cancellations requested 60 days before the arrival date, receive a transferable stay credit to use for the next two years, the credit cannot be used during Peak Season Dec. 20th ? Jan. 03rd. Cancellations requested between 59 to 0 days before the arrival date are subject to a 100% penalty, respective to the total amount originally paid.
  • Packages: Due to the multiplicity of services involved, cancellations regardless of the reason, are subject to a 100% penalty respective to the total amount originally paid. No refunds apply.
  • No-Show reservations, unused room nights, and/or early check-outs are not refundable, regardless of the season.

Additional Considerations:

  • Due to our strict payment and cancellation policies, we strongly recommend travel insurance. A selection of travel insurance carriers can be found at: www.insuremytrip.com
  • Published Rates are subject to change without prior notice. All confirmed and fully paid reservations are exempt from any rate changes.
  • Please note that prostitution and the exploitation of underage people is not permitted on our premises. Guests who do not respect this policy will kindly be asked to leave with no refund due.
  • FORCE MAJEURE CLAUSE: Gaia Hotel & Reserve is exempted for the liability for failure to execute arrangements specified herein directly or indirectly caused by or in consequence of any conditions beyond human control, however, the option to rebook will be offered if there is availability.
  • Regarding COVID-19, we are following measures and recommendations indicated by the Ministry of Health of Costa Rica, in order to safeguard the health of all that within our property, from collaborators, suppliers, and, of course, our honored guests. To protect everyone in Gaia, the following measures are being applied:
  • All our collaborators comply with the hygienic measures established by the Ministry of Health of Costa Rica. Taking this into account, all employees are supplied materials to disinfect and clean, as each chore is concluded, thus reducing greatly any risk of infection.
  • At the moment that an employee has contact with a guest, direct or indirect, they will have protection and disinfectant material, thus protecting you, our guest. The company will carry out a daily control on the employees, checking their temperature, in case of any irregularity, it will be immediately sent to the nearest health center to proceed with the protocol established by the Ministry of Health of Costa Rica in case of suspicious cases. of COVID-19. As of this publication, all employees have had a shot and a booster as a minimum of prevention.  We must point out, that this has not been a required procedure, although they have complied with it on their own.
  • Gaia Hotel & Reserve is committed to following guidelines necessary, and thus, providing hand washing sinks and alcohol gel in all the common areas of the property, hence, with individual responsibility, the objective of protecting all who could share the Gaia environment will be achieved.
  • In relation to the transport service, both in our golf carts and in our vans, a process of cleaning and disinfection of seats and armrests will be carried out with each change of guests.
  • Our rooms are subject to rigorous cleaning by our housekeeper department, who will have all the necessary protection, cleaning, and disinfection equipment. Each room that has been occupied and is no longer occupied will undergo a deep and thorough cleaning process to ensure the health of the guests that occupy it in the future. Additionally, sorry but we have decided that the visit of external clients to the rooms is prohibited, due to the potential problem that this may cause.
  • Our La Luna Restaurant will require daily reservations to ensure space at our facility. This policy will guarantee two meters of social distancing whether waiting or having dinner at La Luna.
  • Our Terra Spa will require prior reservation for any appointment, treatments are performed in private rooms which will be disinfected after each service. The therapist will use a mask during the treatment, and in addition, the therapist will proceed with the service with gloves if such is requested by the guest.
  • Our Gym is available to all guests and the equipment will be used respecting two meters between guests. The equipment will be disinfected before the client makes use of it, as well as afterward, please notify us at the end of the routine and indicate to us the equipment used.
  • Our tour of the Nature Reserve Gaia will be limited to maintain an adequate distance between the guests in the group.
  • Our pools are distributed in five separate areas perfectly suited for social distancing. Our reading/sunbathing areas have two meters from one group of guests to the other.

Starting April 01st, 2022 the temporary immigration measures for entering Costa Rica, put in place due to the COVID-19 pandemic, are repealed. This eliminates the requirement to complete the epidemiological form known as the Health Pass and the requirement of medical insurance for unvaccinated foreigners.

All commercial establishments, activities, and events can operate at 100% capacity.

Payment Policy: All reservations require a credit card to guarantee space.

Regular rate and extended stay rate:The total amount of the reservation will be charged 15 days before the arrival date. Peak season (Dec 20- Jan 03), the total amount of the reservation will be charged 30 days before the arrival date.
 Hotel voucher rate Payment Policy: The total amount is charged at the time of purchase. The non-refundable rate requires full payment at the time of purchase.

 

Cancellation Policies:

  1.  Regular rate and extended stay. *Cancellations requested 15 days before the arrival date, are free of penalty. Cancellations requested between 14 to 0 days before the arrival date are subject to a 100% penalty for the total amount. Peak Season, cancellations requested 30 days before the arrival date are penalty-free, cancellations requested between 29- 0 days before arrival date are subject to a 100% penalty.
    The Hotel Voucher rate, allows you to modify the dates of your reservation 30 days before arrival date, however, the amount paid it remains as non-refundable, a voucher will be issued for the total amount paid to reschedule your reservation in the future. The non-Refundable rate does not accept refunds, so any modification or cancellation is subject to a 100% penalty. Packages are handled with the same policies of prepayment and cancellation of regular rate and extended stay.
  2. No-Show and/or unused room nights, and/or early check-outs are NOT REFUNDABLE regardless of the season.
  3. Due to our strict payment and cancellation policies we strongly recommend travel insurance. A selection of travel insurance carriers can be found at: www.insuremytrip.com.

The modification or cancelation policies for direct reservations, that is to say, made through our website, via email to reservations@gaiahr.com or phone call with our agents, are based and vary according to each of our rate plans. The Regular Rate allows the cancelation without penalty as long as requested at least 15 days prior the arrival, in which case we will refund 100% of the reservation cost, the Hotel Voucher Rate and Extended Stay Rate allows the cancelation without penalty as long as requested at least 15 days prior the arrival. However, for dates of stay that are partially or entirely within the Peak Season it is required that the modification request is made with a minimum of 30 days in advance, and in which case a travel voucher for the cost of the booking is granted to reschedule the stay for future dates, monetary refunds are not applicable for these rates. Finally, the Non-Refundable Rate do not allow refunds of any kind regardless of the circumstance, as such, any modification or cancelation is subject to 100% penalty. The Packages manages the same policies of the Hotel Voucher Rate and Extended Stay Rate as stated in the previous paragraph.

10. Cancellations requested in writing 15 days or less prior to guest arrival during HIGH, GREEN AND LOW SEASON, or 31 days or less prior to guest’s arrival during PEAK SEASON are considered NON-REFUNDABLE or forfeiture of the full prepayment. Late bookings are NON-REFUNDABLE after the credit card charge has been processed.

11. NO-SHOW and/or un-used room nights, and/or early check-outs are NOT REFUNDABLE regardless of the season.
