Payment and Cancellation Policies
PRIVACY STATEMENT: Gaia Hotel & Reserve will maintain any and all information regarding our guests private to only our facility. The information entered into the site will not be provided to any other source. This information will be used solely by Gaia Hotel & Reserve under penalty of applicable law.
Please note that Gaia Hotel & Reserve offers all the services and amenities expected of a Small Luxury Hotels of the World member hotel. We are a wireless property, therefore internet is available from all locations, as well as hard-line computers in our business center. We are proud to offer our 5-star La Luna Restaurant, room service 24/7, our World Class “Terra Spa”, and a full fitness center for guests use. We also feature a beautiful 3-tiered cascading pool with food and drink service, and magnificent rain forest and ocean views. All guests are invited to join the daily guided tour of our Private Nature Reserve.
1. Check out time is 11:00 a.m. and Check-in time is 3:00 p.m.. However, Gaia Hotel & Reserve will make best efforts to accommodate guests prior to the official check-in or after the official check out time when requested, and subject to availability.
2. Rates are quoted for double or single occupancy per bedroom per unit. Published rates are subject to 16.39% tax or applicable taxes at the time if such should change. The room rate includes two daily “a la carte" breakfasts per bedroom per unit served in the room or at our restaurant. An extra charge of $50.00 plus taxes will be applied for each additional guest. An additional guest is defined as a person in addition to the allotted double occupancy per bedroom per unit.
3. Gaia is an adults only hotel, regretfully children below 16 years of age are not accepted. However, rare exceptions can be made depending on the particular guest situation. Please consult our reservation department for further information.
4. All direct reservations require payment in full at time of booking. Payments not expedited immediately are subject to cancellation without further notice. Agency bookings can be subject to special terms, please consult our reservation department for details.
5. Payments are received in US DOLLARS only and may be paid by Visa, Mastercard or American Express. Direct deposits, wire transfers or personal checks must be previously arranged with our reservation department, and proof of bank transactions must be sent by fax to +506-2777-9126 or via email to: reservations@gaiahr.com.
6. Green Season is considered from May 1st through December 15th, Peak Season is December 16th through January 3rd, and High Season is January 4th through April 30th of each year.
7. Reservations for PEAK SEASON whether made direct or by a travel agency require a 50% NON-REFUNDABLE deposit at time of booking. The following 50% of the entire reservation amount is due 91 days prior to guests arrival and is also NON-REFUNDABLE. Payments not received in a timely manner are subject to immediate cancellation without further notice. THERE ARE NO EXCEPTIONS.
8. Room reservations that fall on December 31st will incur a mandatory charge per person for Gaia’s New Year’s Eve celebration. Please consult our reservation department for more information and pricing.
9. Due to the small size of our property, and the popularity of our hotel, direct or travel agency bookings of three units or more require a 25% NON-REFUNDABLE deposit. Bookings of more than six units require prior approval and require a 50% NON-REFUNDABLE deposit. In both cases, said deposits are due upon confirmation of the reservation request. All other cancellation policies apply according to season. We regret that multiple bookings are not accepted in our Peak Season without prior consent.
